Submitting samples to an analytical testing lab is straightforward once you know the requirements. Proper sample submission — right quantity, correct labeling, appropriate shipping conditions — ensures accurate results and avoids delays. This guide covers everything from packaging to documentation.
How do I start the sample submission process?
Start by requesting a test at prodigy-labs.com/request-test. Fill out the intake form with your sample type, quantity, desired tests, and timeline. Within one business day, we'll confirm turnaround time, pricing, and provide shipping instructions with our sample submission form. You do not need to ship samples before receiving a submission confirmation.
How much sample should I submit?
The required quantity depends on the test type: Heavy metals (ICP-MS): 5–10 grams; Mycotoxins (LC-MS/MS): 5–10 grams; Residual solvents (headspace GC): 2–5 grams or 5–10 mL for liquids; Pesticides (LC-MS/MS + GC-MS/MS): 5–10 grams; Potency/HPLC: 1–5 grams; Endotoxin (LAL): 1–5 mg or 0.5–1 mL; Mycoplasma (PCR): 0.5–1 mL cell-conditioned media. When in doubt, submit a little extra — leftover sample is stored or returned. Insufficient sample volume is the most common cause of test delays.
How should I package and label my samples?
Label each sample container with: product name, lot number, date of manufacture, your contact name and company. Place each sample in a sealed, leak-proof primary container (Ziploc bag, sealed vial, or original packaging). Include a printed copy of your sample submission form inside the shipping box. For powder supplements, use a double-seal bag to prevent contamination. For liquid samples, seal vials with Parafilm. For biological samples (cell culture, peptides), follow the cold-chain instructions we provide.
What shipping conditions are required?
Most finished dietary supplements (capsules, tablets, powders) can be shipped at ambient temperature via standard UPS/FedEx ground or priority. Cold-chain (ice packs, 2–8°C) is required for: cell culture samples for mycoplasma/endotoxin testing; injectable peptides; and highly volatile liquid samples for residual solvents if ambient shipping would exceed 48 hours. We'll specify shipping requirements with your submission instructions. Ship Monday through Wednesday to avoid weekend delays in transit.
What information should I include with my sample submission?
Include a completed sample submission form with: your name, company, email, and phone; product name and lot/batch number; intended tests; any known processing solvents or ingredients relevant to the testing (e.g., "ethanol extract" for residual solvents); your target turnaround time; any regulatory context (e.g., "for Amazon COA", "EU export"); and delivery address for the COA. Incomplete submission forms are a common source of delays — the more information you provide upfront, the faster your results.
How do I pay for testing?
We invoice by email upon sample receipt and send a quote confirmation before testing begins. Payment is accepted via ACH, credit card, or check. For established clients, net-30 terms are available. Rush testing requires payment or PO confirmation before testing begins. We do not require prepayment before sample submission — you'll receive a quote confirmation once we assess your submission.
